Job Description
Summary:
Key Responsibilities
- Order Management: Process and monitor orders, ensuring timely and accurate delivery of goods. Coordinate with suppliers, vendors, and internal teams to ensure that orders are fulfilled in accordance with the company's standards and timelines. Maintain accurate records of purchase orders, shipping confirmations, and invoices.
- Inventory Control: Assist with inventory management, including tracking stock levels and coordinating stock replenishment. Work closely with the warehouse and logistics teams to ensure accurate inventory counts and stock movement.
- Data Entry and Reporting: Update and maintain supply chain records, databases, and systems. Prepare regular reports on inventory levels, order statuses, and supply chain performance for management review. Provide analysis and insights to support decision-making processes within the supply chain department.
- Supplier Management: Assist in maintaining strong relationships with suppliers and vendors. Coordinate supplier communications, including order confirmations, deliveries, and issue resolution.
- Logistics Coordination: Help coordinate logistics activities such as shipment scheduling, tracking, and documentation. Ensure that shipments meet delivery deadlines and resolve any delivery discrepancies or delays.
- Documentation and Compliance: Ensure all supply chain processes are documented in compliance with company policies and industry regulations. Maintain filing systems for procurement, orders, deliveries, and inventory records.
- General Administrative Support: Provide administrative support to the supply chain manager and team, including scheduling meetings, taking minutes, and organizing documents. Assist with the preparation of presentations, reports, and other departmental communications.
Qualifications and Experience:
- Education: High school diploma or equivalent; a degree in business, logistics, supply chain management, or a related field is preferred.
- Experience: Previous experience in an administrative or support role in a supply chain, logistics, or procurement environment is preferred.
- Skills: Strong organizational and multitasking abilities. Proficient in Microsoft Office Suite (Word, Excel, Outlook). Knowledge of supply chain management software ( Oracle). Excellent communication and interpersonal skills. Attention to detail and problem-solving abilities.
